Who we are

Our mailing list

When you join our list we store your email address, whether you signed up as a golf venue or a golfer, the page you signed up on, the time you signed up and the consent text you agreed to.

Why we store it

We email you about what the text under the form said when you signed up: the launch of GolfStayAndPlay if you signed up on the coming soon page, or new stays and offers from the clubs and the opening of golfer accounts if you signed up as a golfer anywhere else on the site. Nothing else.

Legal basis

We store your email address on the basis of your consent (GDPR article 6(1)(a)). You can withdraw your consent at any time by emailing info@golfstayandplay.com or using the unsubscribe link in our emails.

Where it is stored

In our database at Neon, hosted in Frankfurt in the EU.

Who processes the data for us

Vercel hosts the site. Neon runs our database in Frankfurt. Resend sends our emails from its EU region: our mails to you, request emails, and notices to our team. Resend is based in the United States and keeps copies of the emails it sends there, under the EU's standard contractual clauses.

How long we keep it

Launch list addresses: until the launch plus 12 months. Golfer list addresses: until you unsubscribe or ask us to delete them. Either way, sooner if you ask.

Applications from golf venues

When you apply to join, we store your venue's name, country and website, your name, role, work email and phone number if you give them, your answers about accommodation and packages, your message, the time you applied and the text shown under the form.

To review your application and contact you about joining.

Our legitimate interest in answering a business enquiry (GDPR article 6(1)(f)).

Only GolfStayAndPlay's team.

Until your venue is set up on GolfStayAndPlay or we decide not to go ahead, and at the latest 12 months after our last contact.

You can ask for a copy of your application, or ask us to delete it, by emailing info@golfstayandplay.com.

Requests

When you send a package request or a Build your own request, we store your name, your email address, your phone number if you give one, your dates, your group details (people, golfers, rounds, tee times, meals, buggies and rooms), your message, the venue and package you chose, the consent text you agreed to, the time you sent it and the messages you and the venue exchange on GolfStayAndPlay.

We use it to pass your request to the venue you chose, so the venue can send you an offer.

We do this to take the steps you ask for before you enter into a contract with the venue (GDPR article 6(1)(b)). The tick box on the form records your instruction to send the request.

The venue you chose receives your request, and GolfStayAndPlay keeps a copy. Until a venue has joined GolfStayAndPlay, our team passes your request on to it by email.

It is stored in our database at Neon in Frankfurt, in the EU. Resend sends the request email from its EU region.

We keep it for 24 months after you send the request, or less if you ask us to delete it sooner.

Your rights

You can ask for a copy of the data we hold about you, or ask us to delete it, by emailing info@golfstayandplay.com. You can also complain to the Danish Data Protection Agency (Datatilsynet, datatilsynet.dk).

Cookies

We set one functional cookie, gsp_gate, which gives our team access to the site before launch. We use no analytics or marketing cookies.
